Marketing Contacts are used to build filtered lists for the purpose of telemarketing or can be accessed as a new Lead. eg. Marketing Contacts may be names and phone numbers collected at a trade show, a purchased marketing list or simply names collected from the White Pages.

How to use Marketing Contacts

Marketing Contacts can be added individually through the Marketing Contact screen but more usually would be added in bulk via the File Import function. Importing Data- see Importing Data
Telemarketing List
</menu>
Overview
A Contact Selection Range is a filter that is applied to the Marketing Contact List in order to create a filtered or targeted list for the purpose of telemarketing. It can also be selected as a criteria for filtering the Marketing Contact List EG. If targeting a geographical area, you would create a Contact Selection Range that filters the Marketing Contact List by Postcode.

How to use Contact Selection Range

*Select Marketing Tab
*Select Contact Selection Range
*Enter a Name for the Range to be created. The name should be descriptive enough that it is easily recognised

by other users eg. Postcodes 4207 to 4210

*Select the ADD button - This will highlight a new line in the selection criteria area and the Field box
*Select the Field you want to filter on from the dropdown list. eg. If you want Melbourne CBD contacts, you would

most likely want everyone with a Melbourne CBD postcode (3000) therefore you will be filtering on the Postcode field - "tblmarketingcontacts.PostCode"

*Select the Comparison drop down list - This is a list of function that define how you want to compare the data in the

"Field" to the Value that you will enter at the next step. eg. In the above example you would choose the comparison "equal to".

*Select Value - enter the value being compared to eg. 3000

Note that as you populate the above fields, a search formula is being written in the selection criteria field. At this point you will see the formula"tblmarketingcontacts.postcode equal to 3000" Save or select ADD again if you wish to add to this selection criteria

Using Multiple Criteria

Here is an example of how to select a range of postcodes and excluding one value within that range.

*Select Marketing Tab
*Select Contact Selection Range
*Enter a Name for the Range to be created. The name should be descriptive enough that it is easily recognised

by other users ie. In this case "Postcodes 3000 to 3005 excluding 3001"

*Select the ADD button - This will highlight a new line in the selection criteria area and the Field box
*Select the Field you want to filter on ie. "tblmarketingcontacts.PostCode"
*Select the Comparison drop down list - choose the comparison "greater or equal to".
*Select Value - enter the value being compared to ie. 3000

*Select the ADD button again- This will highlight a new line in the selection criteria area and the AND/OR box
*Select "AND"
*Select the Field you want to filter on ie. "tblmarketingcontacts.PostCode"
*Select the Comparison drop down list - choose the comparison "less or equal to".
*Select Value - enter the value being compared to ie. 3005

*Select the ADD button again- This will highlight a new line in the selection criteria area and the AND/OR box
*Select "AND"
*Select the Field you want to filter on ie. "tblmarketingcontacts.PostCode"
*Select the Comparison drop down list - choose the comparison "not equal to".
*Select Value - enter the value being compared to ie. 3001

*SAVE

You have just created a selection criteria that reads; tblmarketingcontacts.postcode greater or equal to 3000 AND tblmarketingcontacts.postcode less or equal to 3005 AND tblmarketingcontacts.postcode not equal to 3001

The result when applied to a list is to show all marketing contacts with postcodes 3000, 3002, 3003, 3004 or 3005

The Stock Transfer button allows the user to perform a transfer of stock from one Department (Cost Centre) to another. Stock Transfers are transferred at Cost Price. Stock Transfers are directly linked to Product Re-order points allowing Auto Transfers to be processed.

How to perform a Manual Stock Transfer

*Select the Inventory tab
*Select the Stock Transfer button
*Select 'Transfer From' Department from the drop down list
*Select to To Account from the drop down list

This account should be an Inventory Asset Account. The "from" Inventory Asset account for the product will always be one side of the transaction. When transferring stock the relevent Inventory Asset account is reduced for the stock being tranferred out and increased for the stock being transferred in. In most cases this is the same account and the change is a nett zero.

*Show only as Unit Of Measure

When selected the available quantity for transfer will only be the stock in that unit of measure. eg. If you have 3 cases and 4 bottles and you select cases as you UOM, only 3 will be available for transfer.

*Enter the date of the transfer

*In the Product field select the product from the drop down list or type "~" and scan the products barcode
*Select the UOM if applicable - the available quantity will display

Note: You can only transfer stock that is available. While your total stock at hand may be more, any stock already allocated to a sale cannot be trnsferred elsewhere unless you change the sales order to a back order

*Enter the department where the stock is to be transferred to.
*Select Bin/Batch and Serial number information if applicable.
*Enter a reason for the transfer at the bottom of the screen

*At this point you can put the transfer on hold or process it by selecting the appropriate buttons.

<br> How to perform an Auto Transfer Auto transfer is driven by the preferred levels of stock in the quantities tab of the product file. Selecting Auto Transfer will cause ERP to calculate what stock needs to be transferred based on the preferred levels and reorder points and populate the list of transfers to be processed.

*Select the Inventory tab
*Select the Stock Transfer button
*Select 'Transfer From' Department from the drop down list
*Select to To Account from the drop down list
*Hold down theCONTROL key and select the to department/s
*Select Close button
*The Stock Transfer screen will now populate with a list of transfers to be processed.

*Select the Employee Name
*Select Auto Transfer button

*A Departments List screen will appear
*Hold down theCONTROL key and select the to department/s
*Select Close button
*The Stock Transfer screen will now populate with a list of transfers to be processed.
*At this time you can delete any entries that you don't want to process by selecting the line and then selecting the

red cross in the top left of the grid.

Overview
A New Product is created when you have the need to select it from the Inventory List when entering an Invoice, Purchase Order etc. New Products need to be set up as a specific Product Type to ensure correct data flow.

Product Types have been locked to prevent conversion from non-inventory to inventory without taking into account the Cost of goods sold still outstanding. Following is a list of the Products Types available in ERP:

Inventory Part A physical product that has its amount tracked as inventory (it HAS a Cost of Goods Sold, ATTRACTS Income directly or indirectly, and IS considered an Asset) Non-Inventory Part A product that has a buying cost but doesn't have its amount tracked. (it HAS a Cost of Goods Sold, ATTRACTS Income directly or indirectly, but it IS NOT considered an Asset) Other Type A product that doesn't have a specific buying cost associated with it, but it is sold. (it DOESN'T have Cost of Goods Sold, it IS NOT considered an Asset, but MAY attract Income)

NOTE: Price entry is (inc) therefore ERP will automatically calculate the (ex) prices as they must be entered <br>

with 4 decimal places for GST purposes.

ERP Barcode Picking enables the picking process to be updated via a hand held scanner. <br>Barcodes need to be attributed to the products available for picking, i.e. Inventory items. <br>A barcode is allocated to each Employee so that the process can also track who picks an order.

Preferences Required

In Preferences/Inventory select "Pick From Sales Order" or "Pick From Invoice" radio button. In Preferences/Inventory under Barcode Picking, select

Auto Modify Invoice/Sales Order on Picking

Auto Convert SO to Invoice on Completion (optional) <br> Print Consignment Note on Completion (optional) <br> Print Delivery Docket on Completion (optional) <br> Print Invoice/SO on Completion <br>Optionally in Preferences/Inventory/General, you may select Auto Add Barcodes. This preference automatically creates a barcode for every new product. This is not necessary for Barcode Picking as Barcode Picking generates a unique barcode

*If desired, under Preferences/Sales/Miscellaneous, select Barcode Pick Always On

How to use Barcode Picking

*Create a Sales Order (Refer Sales/Sales Order)
*Ensure 'Barcode Pick' is ticked.
*Enter Picking Instructions if required.
*Save

*Select the Inventory tab
*Select the Barcode Picking button

*Scan the Employee Barcode ID (Refer Employee/Barcode)

NB: EMP-3 is the human readable code for the related Barcode where 3 is the employee Global Reference number. <br>See Templates for details.

*Select either the START NEW button or 'Ctrl + Enter' to start printing a new Picking Slip. The Picking Slip template<br> used is Pick Slip with Barcodes
*OR Scan the 'Start Packing' barcode from a previously printed Picking Slip

*Select Print Control Codes to print a page with barcodes to start and end picking and start and end packing as well <br> as start new pack. These codes are generic and therefore don't need to be printed for every pick slip.

*Scan the 'Start Picking' barcode from the Barcode list printed with the Picking Slip.

*To Stop Picking the order - Scan the Stop Picking Barcode.
*To Start Packing the products you have just picked - Scan the Start Packing Barcode.
*Next Step: 'Scan Product Barcode' will be displayed.
*Scan each Product Barcode as it is packed on your Picking Slip entering the correct quantities to be packed in <br> the Barcode Picking List or scan each item as it is packed.

NB. Where products are available in multiple units of measure (UOM) eg. carton of 4, you can scan the alternate <br>barcode on the picking slip when packing that carton.

*If the items are to be packed in multiple boxes, scan New Pack from the Control Codes each time a new box is started.
*Once you have scanned all your products and you are ready to Stop Packing - Scan the Stop Packing Barcode.
*Stopping Packing will prompt the printing of required documentation as per your preferences. <br>e.g. Invoice, Delivery Docket, Consignment Note

*After each Order has been packed your Barcode Picking screen will return to Next Step: Scan Employee Barcode, <br>ready for you to start picking the next order.
Overview
The Terms List is a reference of all ERP default "Terms of Credit", as well as any Terms created by you. ERP Terms of Credit are both time and dollar specific and can be tailored to your own business requirements. Terms created here are used for both Debtors and Creditors.

The Terms List displays all of the active and inactive terms created within your database. Creating a new term is a simple process and the 'New' button is conveniently located within the Terms List screen. Credit Terms can be allocated individually to each client card, and/or entered as a Preference/Accounts to ensure that all of your Customer credit terms are the same upon creation of each Customer account.

Ways Lists in ERP can be Manipulated:

'EOM' tick box and make sure the 'Days' field is empty.

*If you would like the Invoice to be due on a certain date in the next month, you would need to tick the first 'EOM'

tick box and enter the number of days in the 'Days' field, e.g. enter 20 'Days' for invoices to be due on the 20th day of the following month. Note that both the 'Days' fields will be populated with the same value, please make sure neither of these are removed.

*If you would like the Invoice to be due at the end of the next month regardless of the invoice date, tick both the first

and second 'EOM' tick box's and make sure the 'Days' fields are empty. (Default Term)

*If you would like the Invoice to be due on a certain date after the next month, you would need to tick the first and

second 'EOM' tick boxes and enter the number of days in the 'Days' field, e.g. enter 20 'Days' for invoices to be due on the 20th day of the 2nd month following the invoice date. i.e. Invoice dated 10th Oct would be due on the 20th December.

*Enter a&nbsp;% discount into the 'Early Payment Discount (%)' field if you wish to offer your Customers a discount for

early payment, e.g. A 5% discount will be available to all Customers on a 21 Day Term that pay before the due date. Refer to Payments for further details on processing.

*Selecting the 'New Term' button at the bottom of the Term screen will save the Term you have just created and open

a new Term screen ready to create another term.

*The 'Active' tick box is automatically ticked upon creating a new term. If you wish to de-activate a term, simply open
Overview
ERP provides the user with the ability to produce a high standard of printable documentation. This being a key feature of any good software that is to be used at a commercial level in today's business world, ERP installs with multiple default templates covering every ERP module, some templates designed in multiple formats.

ERP meets the above requisite and more, by incorporating a complete Report Designer within the software. This allows any User with SQL database knowledge, the ability to design and create their own templates to report on data stored within ERP. The User has the freedom to customise templates and reports to suit their own Organisations requirements. Refer to the detailed user manual for the report builder module called LearnReportBuilder.pdf&lt;File=LearnReportBuilder.pdf&gt;

<br> How To View Templates

*Select the General tab.
*Select the Templates button
*OR select Templates via the top menu bar under, Reports=&gt;Templates.

*The Customise Templates screen will load with the Cursor in the Search Text field.
*Start typing the name of the Template you wish to open/view, e.g. Sales Order. Alternately you can also scroll

up/down to find the report that you're looking for. The arrow on the left of the List will indicate which Template is selected, as more than one template will be highlighted when Sal is typed into the Search field.

*Select View Report to open the Print Preview, view of the selected Template.
*The Preview will load as 1 sheet per page, (full page view). Left zoom button view.

*Select the middle zoom button to zoom in for a half page close-up view.

*Select the right zoom button to display the page as actual size (100%).

*Enter a&nbsp;% value manually into the zoom percentage field to display the preview as required, e.g. 80%.
*If the report is spread over multiple pages you can toggle between these using the toggle arrow buttons.
*Select the Printer icon to print the report from within this Preview page.
*Select Close to return to the Customise Templates screen.

The Customise Templates screen displays 3 columns:

1.Template Name. This indicates the actual name of your Template. It is a good idea to name all related Templates with the same first name, e.g. Sales Order, Sales Order Matrix etc. This keeps them listed together for convenience. This field can be sorted alphabetically in either ascending or descending order by clicking on the field header. The order is indicated by the finger pointer.

2. Type field. This indicates what area of ERP the template is designed to be used for, e.g. 'Sales Order' Type to create a new 'Sales Order' template. The Type list is predefined; meaning a report Type can only be one that is already specified in ERP. This column can also be sorted alphabetically in either ascending or descending order by clicking on the field header. The order is indicated by the finger pointer.

<br> 3. Default. If this field is ticked it indicates that this template is the default template used by ERP when printing reports of that 'Type'. The default can be changed to any other Template of the same Type. There can only be one default template set for each 'type'. This column can also be sorted by ascending or descending order by clicking on the field header, conveniently listing all your 'default' templates together. The order is indicated by the finger pointer.

How To Export Templates

*ERP Templates can be exported individually or in their entirety. This can be useful when you are making changes

to current templates; you can export the templates before any changes are made. This way you will have a back-up, if you wish revert to the original templates.

*To export individual templates you will need to go to the Customise Templates (General Tab; Templates Button)

window and select Export.

*You will then be prompted with the Export Templates window. If you click on the folder button you will be able to

choose the location of where you would like the file to be exported and the name of the file.

*You can give the file any valid name and the file will be stored in a ERP Template.ttd format. This is the format in

which ERP exports and imports templates and is exclusive to ERP Software.

*Once selected the template export folder path will appear in the Select Export File field.
*You can also choose to export the templates only with the SQL strings by ticking theSQL Only (No Layout) box.

Please bear in mind that if this option is ticked the template layout designs will NOT be exported.

*Clicking on Export will start to export the templates and the export progress will show on the Progress Bar.

*To Export All Templates select the File menu on the top toolbar.
*Select Export, Export Templates.

Following the same steps to export the Templates Export as per instructions above for exporting Individual Templates.

How To Edit Templates

*Select theCustomise Templates window as shown above.
*If you know the name of the report you can type it in the Search text and it will appear as highlighted, otherwise

you can also scroll up/down to find the report that you require. In this example we will use the Sales Order report.

*Double-click on the Report and this will open the report in the ERP Report Designer.
*By default the Template is opened in Design mode but you can always view a Preview by clicking on the Preview

tab.

*Back in Design mode you have a wide range of tools along the top of the screen to customise the template as

required by the organisation. These tools are covered in more detail below in How to Create New Template.

How To Create a New Template

In ERP you can re-create any existing template and customise it as required by your organisation. Customisation is limited to the available SQL String per template, and the SQL knowledge of the person designing the Template. You can also create totally new report templates from a blank page, but this requires advanced knowledge of SQL Strings and ERP software, therefore it is probable that you will have to seek the skills of a ERP Programmer to achieve your desired results in a timely fashion.

The process of creating a new template by using the base of an existing one, involves copying all the detail from the original (including the layout and data elements) into the new template, then amending it.

*To create a new Template go to the Customise Templates window and select New. This will create a new line

in the Template list and will allow you to enter a name and type for the new template

*In the Template Name field enter the name for the new template and in the Type field select a Template Type

from the dropdown list. In this example we will use the Invoice type and name it Invoice New

*Double-click on the newly created template to load the Report Designer. Note that this template is currently

blank.

*To exit from this screen use File=&gt;Close from the menu bar, or you can use the x button at the top right.

NB: Closing out of the Template Designer will NOT save any changes that have been made to that template. You will Always have to select the 'Save/Close' button on the Customise Templates window before changes to templates will be saved.

*We now need to copy the SQL String from the original Invoice and paste it into the Invoice New.
*Select Invoice from the Template list.
*Highlight ALL of the SQL String and copy it.
*Select Invoice New from the template List.
*Highlight ALL of the SQL String then paste the SQL string you have just copied from the original Invoice.

Note: SQL (acronym for Structured Query Language) is a standard method of conveying information to and from a database. In ERP the SQL String allows information to be retrieved from the ERP Server and used in Reports.

The SQL Strings used in ERP are unique for every report; therefore it is vital when we create new reports that the SQL String is copied from the correct Report Type.

*Double-click on Invoice to open the Report Designer.
*Select all off the layout of the template by using Ctrl+A and then copy it into your clipboard by using Ctrl+C
*Take a note of how many breakpoints the layout of the Template has. In the Invoice below we have 3 breakpoints; Header,

Detail and Footer. These are indicated by the grey bar going across the page.

*The reason for this is that the new report will also need to have the same in order for the layout to be pasted correctly.
*Take a note of how much of the page is used in between the breakpoints.

Close out of 'Invoice' and Open 'Invoice New'. By default any new invoice template will open with 3 breakpoints; Header, Detail and Footer and will not have much space between them

Note: Remember you can always use 'Save/Close' to save changes to templates and then re-open the report to carry on working. This will ensure you capture correct settings of your new template design before you proceed to make further changes that you may not initially get right.

*We now need to resize the distance between breakpoints so that the layout that is to be pasted will fit correctly.
*To resize the distance between breakpoints you can simply click and drag the grey bar up or down for each breakpoint
*Following on from our example of the Invoice the Header covers just over 5 inches, Detail covers around half an inch

and Footer covers just under 4 inches. We will use around an inch more for each one as we can re-adjust distance after pasting the layout.

*Once the breakpoint distances have been set, click into the body of the template and then paste the Invoice template

using Ctrl+V (by default time/date and page numbering are inserted on blank reports).

*You can now resize the breakpoints to fit the template content, by dragging them back up to the base of the text.

NB: By default you will not be able to drag the breakpoint beyond the text.

*If we now preview the Invoice it will show up exactly as the original Invoice.

*You may have noticed that there are a number of tools in the ERP Template Designer that can be used to edit any report.

The first and most important one is the 'Select Object'.

*Using the 'Select Object' you can select, highlight, move and resize almost any item on the template. When the Report

Designer is opened the 'Select Object' is selected by default.

*Label Object. This allows the adding of a text Label onto the report. You can then change the properties by right-clicking

on it.

*If you right-click while on an existing object anywhere on the ERP Report Explorer, you will be able to view and change the

setting for that item, e.g. below are the options for the Label Object.

*Memo Object. This allows the adding of a longer piece of text onto the report, for example a terms statement.

*Rich Text. Using this you are able to add text in Rich Text Format.

*System Variable. This function will allow you to select from a list a variable that the system has already stored, for example

the date, page numbering etc.

*First select the System Variable object, place it on the report.
*Then choose the variable you require from the dropdown list on the toolbar.

*Image. Most organisations need to use images such as their logos onto their templates. The image function allows you to

import external images and customise them on the template.

*Select the Image object and place it into the template.

*You would then need to right-click on the image box, select 'Picture', browse to the picture and select it to import it

onto the template.

*Using the right-click options you would then be able to edit and customise the reports as required.

*Shape. This function will allow you to select from a list a shape that the system has already stored, for example square,

circle etc.

*First select the Shape object, place it on the report and then choose the shape you require from the dropdown list on the

toolbar.

*Barcode. You can add barcodes to specific reports by selecting the Barcode Object and placing it on the report. You can

then change the human readable text/numbers of the barcode from the textbox.

All of the objects detailed above are Standard Components that can be used on the report; they are independent and are not associated to any specific data in the ERP Database.

The next set of Components in the ERP Report Designer is Database Components. These are also objects that can be used on any report but the essential difference is that they are linked to data stored in the ERP Database and retrieve information directly from it.

In the ERP Report Designer we have 6 Database Components in total;

DBText 2; DBMemo; DBRichText; DBCalc; DBImag; DBBarCode; Apart from being able to link to fields in the ERP database these are very similar to their Standard Component equivalents (apart from DBClac).

*Select a Database Component field and place it on the template
*Select the required data from the drop-down list to link the field to a specific field in the database which will then show

on the Report.

In the example below a Database Text Object (DBText) is selected. When the object is placed on the report a list box appears in the Toolbar which shows all of the available fields for the Text Object.

<br>

*Select theAmountDue as per example below selected.

NB: The field now displays Sum(AmountDue)

The database fields list box does not contain all of the fields of the database per template. The fields that are available to select from the list box are determined by the SQL String which is used in the report/template when it was created (detailed above).

Fields can be added and removed from the list box using the SQL String, but this requires advanced knowledge of SQL and ERP Software and is recommended to be carried out by ERP approved Personnel.

<br> Regions; Subreports; and Cross Tabs can be added to a report by using the Advance Components.

To make best use of these features please refer to the Report Builder Help or an ERP approved Consultant.

*Format and Edit Toolbar. All of the buttons here function the same way as they would on any Microsoft text editing software

i.e. Microsoft Word

*Nudge Toolbar. Using these buttons all of the selected components would be moved up or down or left or right by 1 pixel.
*e.g. The highlighted sections, Company Name down to Phone/Fax etc. have been nudged down. In this instance, over top of

other fields.

*Size Toolbar. Based on the button you select it would determine the min/max width or the min/max height of all the selected

Components and will then set the width/height of all the components to that value.

§ Shrink Width to Smallest § Grow Width to Largest § Shrink Height to Smallest § Grow Height to Largest

*Align or Space Toolbar. The buttons on this toolbar will assist in positioning components relative to one another and

relative to the band in which they appear.

§ Align Left § Align Middle § Align Right § Align Top § Align Center § Align Bottom § Space Horizontally § Space Vertically § Center Horizontally in Band § Center Vertically in Band

*Align Left: Aligns a group of components with the leftmost position of the component that was selected first.

*Align Middle: Centers a component based on the horizontal centre of the component that was first selected.

*Align Right: Aligns a group of components with the rightmost position of the component that was selected first.

*Align Top: Aligns a group of components with the topmost position of the component that was selected first.

*Align Center: Centers a component based on the Vertical centre of the component that was first selected.

ERP allows you to specify a list of acceptable Shipping methods, that can be selected in Sales Orders and Invoices. Using the Shipping button in the General Tab you will be able to add methods of shipping that may be used by your organisation. These will then appear as a list of options available for shipping when orders are placed. The ability to add a default Shipping Method to a Customer Card ensures the preferred method of delivery is used for that Customer.

How To create a New Shipping Method
*Select the 'Shipping' button from the General tab.
*The current shipping method will be automatically saved upon selecting 'NEW'.
*A blank Shipping Method screen will display ready for input of the new method.

Once the Shipping Method is created it will be listed in the Shipping List. The ability to select the newly created Shipping Method/s from within an Invoice or Sales Order forms (under the 'Via' drop-down box) will now be available.

A Memorised Transaction is a Post-dated transaction that is an exact copy (other than the date), of the transaction it is created from. Within the Memorised Transaction List you can view all the transactions that have been created to recur after set intervals of time. All of the following types of transactions can be memorised: Journal Entry; Cheque; Purchase Order; Return Authority; Bill; Credit; Quote; Sales Order; Invoice; Cash Sale; Refund.

How To view the Memorised Transactions List
· Select the 'Memorised Transaction List' button from the General tab.

How to Memorise a Transaction
*To memorise a transaction you need to right click on the "Right-Click to Memorise" option for the transaction (this is generally found at the top right of the transaction form).
*The example below shows the steps to memorise an Invoice.
*Once the invoice details have been entered, right click on the "Right-Click to Memorise" option at the top right of the form.

NB: If you want the transaction to automatically post when due, then select
'Memorise Auto Transaction'.

*Upon opening the Memorised Transaction List you will immediately be prompted to: 'Perform AutoPost Transaction(s) now?'

*Select the Frequency number from the drop-down, e.g. '6', i.e. repeat every 6 Days.

NB: When a Frequency is selected, the dates for the memorised transaction are populated on the
right in the field between the Base Date and the Final Date.

*Select the Frequency option as 'Week' and set the transaction to recur regularly after a set number of weeks and on a specific day of the week, e.g. repeat every 1 week on a Monday.

*Select the Frequency option as 'Month' and set the transaction to recur regularly after a set number of months.
*Select to repeat either at the beginning or end of the month.
*Select a set number of days after the beginning or end of the month, e.g. repeat every 1 month at the beginning of the month plus 1 day (i.e. on the 2nd of each month).

*Exceptions can be put in place if a memorised transaction falls on a Saturday, Sunday or Public Holiday.
*If the 'Post' radio button is selected the transaction will post regardless of the day.
*If the 'Drop' button is selected, the transaction will be removed from the list and not post at all (where the memorised transaction falls on a Saturday, Sunday or Public Holiday)
The Global List displays a record of all entities (Contacts, Customers, Employees, Other Contact's and Suppliers), entered into your ERP database, all within the one easy to access list. Every entry has a reference number called a Global Ref. This number is a combination of the site code of the data entry point, and the next sequential number for the type of contact. == Overview ==

Whether you are part of the International Business community or perform your business on a Local or National level it's possible that you will at some point deal with transactions that involve Foreign Currency.

By using the Foreign Exchange Rates window in ERP you are able to define the rates for Purchase and Sales transactions for each Currency and/or Country and also define a Hedging Formula. There is a default list of all major foreign currencies already in ERP and you are able to enter as many more as you wish.

Variation Accounts should be set up to account for any variation in the price between order/invoicing the goods and making/receiving payment.

How To Create a Foreign Exchange Rate

*Firstly, select theForeign Exchange Rates List button from the General tab.
*Select the All Rates radio button to display the list of all Active and Inactive Rates. This will enable you to check if the rate you wish to set up is already in the list whether it is Active or Inactive.

*If the Country you are setting up an Exchange Rate for is listed then double-click on it to load the Foreign Exchange

In ERP we record two foreign exchange rates, a buy rate and a sell rate these are used as follows:

Sell Rate - This is the rate that the bank will "sell" a foreign currency to us. This is used in foreign purchase orders as we have to buy the currency from the bank to pay the foreign supplier.

Buy Rate - This is the rate that the bank will "buy" a foreign currency from us. This is used in foreign sales as we have to sell the foreign currency we have been paid in to the bank.

To create a Foreign Exchange Rate that is not already in the Exchange Rate List, follow the steps below:

*Select the 'Foreign_Exchange_Rate' button from the General tab.
*Enter the name of the Country/s in the 'Country' field that the Currency and Rate for, e.g. 'European Union'.
*Enter the name of the Currency in the 'Currency' field.
*Enter the code for the Currency in the 'Code' field.
*Enter the the 'Buy Rate' (i.e. the Rate the Bank will Buy the foreign currency from you), e.g. 1.5
*Enter the 'Sell Rate' (i.e. the Rate the Bank will 'Sell' a foreign currency to you), e.g. 1.5

Buy and Sell rates are typically different. Check with you Bank as to the current buy and sell rates for the Currency you are creating.

Select the 'Active' tick-box to ensure the Exchange Rate is available to use in your database.

Note: Foreign Exchange Rates can also be created from the Foreign Exchange Rate List by selecting the 'New' button.

*Select 'SAVE' to save and exit the new Currency set-up.

Departments List Overview

Ways Lists in ERP can be Manipulated:

*Filtering Lists
*Searching f5 f6 f7
*Customising Lists
*Report Printing Options
*Export Data

ERP Departments allow you to separate different aspects of your business into Cost Centres. Departments allow a Company to report on specific areas of their business without the need to create additional accounts within the Chart of Accounts structure. You can run Profit &amp; Loss Reports by each Department to enable you to analyse your business accounts on multiple levels. Your lists can be accessed by Department if required. Departments allow you to combine multiple cost centre records into the one database, as you are able to Report on every Departmental level required.

Departments also allow you to separate your Product List by Department (Cost Centre/Outlet); you are able to set different Price Levels by Department; Separate Stock levels by Department; run BAS Reports by Department etc.

Note: The word 'Classes' within ERP is another term for 'Departments'.

How To View and Create Departments

· Select the General tab · Select the Departments List button

· Like all ERP lists, you have the ability to search for data by selecting the column from the drop-down menu, (or clicking into the column itself), and entering the start of the text you are looking for. The Department list does not have the F5, F6, F7 capability at this point in time. · As per other ERP lists you can filter by selected data within the Departments List (see sorting and filtering).

A couple of handy features on this screen are:

· Number of Records · Current Filter - This tells you exactly what column you have filtered on and what your selection criteria was, i.e. Column "ClassName" (DepartmentName), = "Default". Therefore any entries in the Department Name column that = 'Default' would be filtered.

· Double click to Drill Down into any Department, e.g. Burleigh, to view and/or edit the details. · Note that the 'Department Name' is greyed-out. This cannot be changed after it has been created and saved.

· Select the Radio button to view the criteria of the list you wish to view.

· Active Classes · Inactive Classes · All Classes

There are 2 ways in to create new departments:

· Firstly by clicking on the 'New' button from the Departments List screen

· Secondly by selecting 'General and then 'Department' from the top menu bar in ERP

On the Department Form you will be able to define the structure of your Department/Cost Centre Tree.

These can be broken down to 4 levels if required:

· 'Header' Department · 'Sub Department 1' · 'Sub Department 2' · 'Department Name' (Department you are creating now)

Refer below for further instructions

For example, if you have a nationwide Clothing business the Header Department may be the City that you operate in. In the following example we will use Melbourne as our Header Department, and create sub-departments under it.

· Select the 'New' button at the bottom of your Department List to load a new Department form. · Enter the name of the new Header Department in the 'Department Name' field. · Enter a description for the Header Department in the 'Description' field. · The 'Department Tree View' will to populate. The Department Tree View presents a diagrammatic outlook of the Department Hierarchy and will grow as more department levels are added. · Select 'Save'.

· Open the newly created 'Melbourne' Department from the Department List by double-clicking on it.

When creating a Department you have a few additional choices you can make simply by ticking the appropriate box:

(Please refer to the help pages for Quote, Sales Order and Repair for further information).

· 'Use this shipping address on Purchase Orders'

(If this is ticked a separate delivery address could be used for that specific department on Purchase Orders, so that goods are delivered there directly)

· Create a Purchase Order with products attributed to the 'Melbourne' Department. · This Employee's default department is 'Melbourne'. · Select 'Choose Template'

· Select 'Purchase Order Ship To' Template

In each City you may have a 'Retail' section, and a 'Warehouse' section. When creating your Departments you are able to set these areas of business as Sub Departments, therefore allowing you to report on particular sectors within your business.

· When creating 'Sub Department 1' you will need to:

· Open a new department form from within the Department List or the top toolbar drop-down as detailed above. · Select the Header Department, "Melbourne" from the Header Department drop-down. · Enter the name of the first Sub Department into the 'Department Name' field, e.g. "Retail (Melbourne)".

Note: The Tree Mode structure taking form.

· Enter a description for the Sub Department into the 'Description' field. · Select 'Save'.

In the Retail store there may be a 'Menswear' and a 'Ladies Wear' section. These can be created as 'Sub Department 2' to enable further reporting ability.

· When creating Sub Department 2 you will need to:

· Open a new department form from within the Department List or the top toolbar drop-down as detailed above. · Select the Header Department, "Melbourne" from the Header Department drop-down. · Select "Retail (Melbourne)" from the Sub Department 1 drop-down. · Enter the name of the 2nd Sub Department into the 'Department Name' field, e.g. "Menswear (R-M)".

Note: The Tree Mode structure is growing deeper.

· Enter a description for the Sub Department in the 'Description' field. · Select 'Save'.

In Menswear you may have sub sections, for example 'Suits', 'Casual' or 'Sportswear'. These would appear in the final Sub Department.

· To create the final Sub Department you will need to:

· Open a new department form from within the Department List or the top toolbar drop-down as detailed above. · Select the Header Department, "Melbourne" from the Header Department drop-down. · Select "Retail (Melbourne)" from the Sub Department 1 drop-down. · Select "Menswear (R-M)" from the Sub Department 2 drop-down. · Enter the name of the final Sub Department in the 'Department Name' field. · Enter a description for the Sub Department in the 'Description' field.

· select 'Save'.

· Notice that the 'Department Tree View' now shows 4 levels of Departments, all indented below each other.

· The new Departments also display in Tree format on the main Departments List screen.

To create more Departments and Sub Departments, simply follow the steps above.

· To make a Department 'In-active', un-tick the 'Active' tick-box at the bottom right of screen. This is automatically ticked upon creation of any new department.

You can make a Department active or in-active as required, so long as there are no transactions posted to the department. e.g. Products attributed to the Department, Invoices outstanding, etc.

· The 'New' button at the bottom of the Department screen allows you to select a new department screen directly from one you have just created. When you select this new button, the department on screen will be saved automatically.

The default Fixed Asset Types already in ERP are:

<br>

*General, General Assets
*Vehicle, Vehicles

You are able to add as many fixed asset types as you feel are necessary. Remember that when you need to report on Asset Types you can only do one type at a time, or all type. You are unable to run a report on two types with a total. A Fixed Asset Type is created to standardise the depreciation method for like assets (create once and apply to like assets).

How to Add a New Fixed Asset Type

*Select the Fixed Assets type Button
*Enter the Asset Type code eg. PROP
*Enter the Asset Type Name eg. Property
*Enter the depreciation option as Declining Balance
*Enter the Salvage value as 5%
*Select the Asset Life in years - eg: 4 years, this will automatically be entered in the Fixed Asset when using

this specific Fixed Asset Type

Overview
In business, budgets are created to act as a forecast or prediction for the future based on the skill and knowledge of the people that create them. To be of benefit, the budgets must then be accurately tracked against actual figures to ensure that the company is on track. If for example, the expenses blow out - then the management of the company will need to see that and act on it quickly. The budget vs actual tool allows for exactly that.

For the benefit of this manual only a very few transactions have been recorded. If no figures are appearing in your budget vs actual report - check your date ranges, departments selector ad if these are accurate - then the reason no figures are appearing is that no transactions have occurred on the accounts that are features in the budget.

How To View the Budget vs Actual report

*Click on the Budget vs Actual button on the budget tab
*The Budget vs Actual report will open

*Select the budget that you wish to compare against actual figures from the drop down menu
*Ensure your date ranges and department selectors are set accurately

For more information about date ranges see date ranges in global features

Overview
The budget variation allows you to select an entire budget or a specific period within that budget and either change or copy the selection you make. You can select to either choose specific accounts for the budget or period or alternatively choose to alter all account entry's for that budget. This feature within the program allows you to keep up to date with all of the budgets and entries within those budgets. If something changes within the company - those changes will need to be reflected in the budget. If we won the big account - we may need to increase anticipated sales, if we sold the warehouse (examples only) we may need to decrease outgoings and expenses. A budget variation allows those changes to be entered and update future forecasts and predictions.

How To Enter a budget variation.

*Select the 'Budget Variation' button displayed within the Budget Tab
*The Budget Variation screen appears

*Budget field has a drop down that allows you to select from the list the budget that you wish to perform the variation

on.

*As you select the budget from the drop down list, the interval, start date and end date will auto fill based on the

entries created for that budget in budget definitions

*You will then need to select the action you are performing, you can select either change or copy
*Change - will allow you to make alterations to an already existing entry
*Copy will allow you to duplicate the already existing entry
*Are you changing or copying for just this period? Or for the whole budget?
*Just this period will either copy or record changes for the selected period only
*The whole budget will either copy or record changes for the entire budget

*If you select 'copy' and whole 'budget', the following screen appears for additional information
*These additional fields allow you to create a new name for the budget that you are creating, and a new description.

here is also a field that allows you to select a starting date for this copied budget.

*If you select 'copy' and 'period', the following screen appears for additional information
*These fields allow you to select a specific period from the budget and copy the whole period across to another

period.

The purpose of this as an example - if you have created all the entries for a year - and you know that the three months over Christmas are always quiet - you can change one of the months (periods) and copy the figures across to the other two periods without having to re - enter the figures

*You can then select the tick box marked choose accounts.
*This will allow you to decide if you want to record a variation for only certain accounts within this budget definition

or alternatively by NOT selecting the choose accounts option you are recording changes to all accounts that have been set up in this definition.

Overview
This button will display a list of all of the current budgets that have been created. Ways Lists in ERP can be Manipulated: <br>

*Filtering Lists
*Searching f5 f6 f7
*Customising Lists
*Report Printing Options
*Export Data

How To: View the Budget List

*Select the 'Budget List' button displayed within the Budget Tab
*The Budget List screen appears

*All lists can be customised (See Customising lists)
*This list has active and inactive buttons
*Budgets List has search functions (see f5, f6, f7 searching)
*Budget list can be filtered and sorted (see filtering and sorting lists)
*Budget List can be exported (see exporting lists)
*Budget List can be printed (see printing reports)

*You can see the name and description of the budget
*The names of the two variation columns (in this example aggressive and conservative)
*The budget number showing the entries created for the time periods set up in the budget definitions. In this

example 12 entries - for twelve months

*And the start date and end date for each period that has been created.

*You can now alter or change any one of these periods by double clicking on your selection. In this example the

budget period number seven has been selected. (ie the seventh month of this particular budgeting period)

*You will see that the figures are all increased based on the 10% increase we put in with the budget variation
*You will also see displayed, the period number that you have selected and the date ranges that this period number

refers to.

You can now change or alter the figures for that particular month (or other time period as defined in your budget definition)

This allows you the flexibility to keep your budget up-to-date, with any known or unusual circumstances. For example you may know that in this particular month, you always have a quiet period, and therefore the sales figures will be down and so then will the expenses. You can change the figures by clicking into the field you wish to change, make your change, and then selecting the save button.
