First we will look at setting this up with our EDI and Integration.
We need the SMS software providers data to sync with TrueERP's and we will use EDI and integration for this. (Sending TrueERP data to the SMS software provider and back.)

First thing you need to do is phone the service provider you wish to use and obtain certain credentials from them (User Name, Password etc) for TrueERP to be able to send and receive data.

So in order to do this go you Utilities module inside TrueERP, select Preferences and then messaging. Enable SMS by entering the User Name, Password and Phone Number.

This setup can also be found in Utilities, Preferences and then EDI and Integration.

Within messaging option in Preferences, you can also select message text to go out automatically once completing a transaction, without you having to enter it in manually all the time.

Employee preferences is going to be around setting up specific preferences for the individual.

To access this you need to go to the Utilities Module, Preferences and then select the Employee tab. This will have all the different preferences you need to set up around your employee.

Now that's Employee specific preferences but every single preference in this area whether its in the Sales, Inventory or Fixed Assets section, they are all around the preferences needed for the employee.

So in the Sales tab if you search discounts, this will bring up all the employee options they can have around discounts.

If we have a look at the Inventory side and look under allocations, this will be dedicated more so specifically around the employee's preference.
So from selecting to Load Truck Load Numbers automatically, to copying the next batch number in sequence. This is where the user would choose their preferences.

Also if you go into the Manufacturing tab, there are a huge amount of employee type preferences within preferences.

The best way to see what preferences is best for the employee is to physically go through them and see what's available for the employee to select.

So first thing is that you need to jump into the Inventory Adjust Module and select Stock Take button.
Now once we are in the Stock Take Card, at the bottom of the screen is an Import or Export button. If you already have the data go straight to import, but we recommend you do a export first, That way you pull all the correct entry fields for import at a later stage.

So once you click Export, this will open the Export Stock Adjustment screen. Now select what data you wish to export and then click Export.

For doing an Import, go back to the Stock Take card and select Import.
This will open up the Import Stock Adjustment mapping field. This is where you need to make sure that the fields in the adjusted stock form correspond with the equivalent field in TrueERP. So make sure that is set up and corresponding correctly in this mapping area.

You can select a file you exported and altered if you choose, and the reason we do an export first is that we are guaranteed that the mapping is going to be exactly as it should be in TrueERP.
Once the file is selected click refresh to view the mapping. Select all your format options etc, and then click Test Import just to see if the mapping is correct and TrueERP can import the information successfully. Once that is correct click Import and job done.

Inventory Transfers around your bins, batches serial numbers etc will be based on the principal of moving these items within your company to different departments or areas.
This can be found in 'Inventory Adjust' Module.
All the different transfer functions follow the same concept and principle, whether its a serial number transfer, bin transfer etc. Its just the information that is relevant to the transfer.
So click on the type of transfer you wish to do, this will the open the relevant 'Transfer Card. eg 'Stock Transfer'. First thing to select is the 'Transfer From' option. This is vital due to this being the source of where the product is coming from. Once that is selected make sure which account is it posting to.

Go ahead and select your product you wish to transfer or select 'Auto Transfer' at the bottom of the screen. Once this is selected TrueERP will prompt you to which location or department will this transfer post to. Select the location and then TrueERP will populate the stock transfer screen.

Then make sure what amount is available of the item and then select the amount to transfer.
Enter in a reason for the transfer, click process and job done. Transfer complete.

== Overview ==

Inventory Adjusts, relating to Stock Take and Adjustments can be found in your Inventory Adjust Module In TrueERP

Now, Stock Take and Stock Adjust are relatively on the same 'Page' in terms of functionality and usability. Stock take will be used to do a physical stock take and adjust if you need to amend any product. Stock Adjustment skips the stoke take part and goes straight to adjusting the product. (Same Concept)

So in a stock take first thing to select is what account is this stock take posting to and select either to 'Show only as Unit of Measure' or 'Adjust on in-stock Quantity'.

Once this is done select a product, and then select the department you are doing the stock take for. Once selected you can now see what's 'In-Stock, Available and Final'. You can then do your adjustment to post the actuals and view any batches that the items are attached to, as well as their expiry dates, Availability and Product Barcodes.

Once ready to complete the process whether its just an adjustment or simple stock take, click Approved and Process to finalize.

== '''Overview''' ==

'''Accounting define as follows.'''

"The process of identifying, measuring and communicating economic information to permit
informed judgements and decisions by users of the information".

The key words in the above definition:
Accounting is about providing information to others. Accounting information is economic information - it relates to the financial or economic activities of the business or organization.

Accounting information needs to be identified and measured. This is done by way of a "set of accounts", based on a system of accounting known as double-entry bookkeeping. The accounting system identifies and records "accounting transactions".

The "measurement" of accounting information is not a straight-forward process. it involves making judgements about the value of assets owned by a business or liabilities owed by a business. it is also about accurately measuring how much Profit or loss has been made by a business in a particular period. The measurement of accounting information often requires subjective judgement to come to a conclusion.

The definition identifies the need for accounting information to be communicated. The way in which this communication is achieved may vary. There are several forms of accounting communication (e.g. annual report and Accounts, management accounting reports) each of which serve a slightly different purpose. The communication need is about understanding who needs the accounting information, and what they need to know.

In addition, Accounting is the systematic and comprehensive recording of financial transactions pertaining to a business. It also refers to the process of summarizing, analyzing and reporting transactions.

Financial Statements

It is a formal record of the financial activities of a business, person, or other entity. Accounting information is communicated using "financial statements". There are two main purposes of financial statements:

To report on the financial position of an entity (e.g. a business, an organization).
To show how the entity has performed (financially) over a particular period of time (an "accounting period").

The most common measurement of "performance" is profit. It is important to understand that financial statements can be historical, or relate to the future.
Accountability
BOM Allocation Batch Scanning

So the guys on the shop floor have their picking slips and they wish to scan allocate to a build.

So from the purchase order of the "Batch" product, we need to receive these goods in. We now need to see where these goods are allocated to and then receive the goods in.
Again make sure the goods are received in.
So now right click on the description bar and select "Print Barcodes.
Now this is what we will need to scan in to allocate those goods.

Now from the Manufacturing Module and Productions Order function, select the allocation button, this will open the Build Allocation screen where we can scan the Barcode in under the heading Receive Batch. Once received, this will highlight the area that needed allocation in green

== Overview ==

The concept around Unallocated Batch Sales is to do the allocation of a finished product, so we want to take the unallocated batches and allocate them to the finished job.

So from the created sales order, altering the allocation of a BOM product or a batch type product will in tern create unallocated batches. So for example you originally allocated 5 items to a specific batch and you go back to that same sales order and alter the batch product ordered from 5 to say 7, you will then have 2 products that are unallocated. This is where Unallocated Batch Sales comes in. This allows the BOM to be left alone and the finished amount to vary.

So from the Manufacturing module, click on Unallocated Batch Sales List to view. Then select the product you would like to allocate by double clicking on the product column or selecting the product with one mouse click and then clicking NEW.

This opens the Sale Line Batch Allocation card where you then proceed to click on NEW at the bottom where you can then enter a new batch number if you choose (otherwise ERP will auto generate one) and then selecting the Quantity. desired. Click save and repeat process if needed.

Once complete click Allocated and save to show that all unallocated batches have been allocated to this finished job. Also from within the Sale Line Batch Card by clicking Show Preview and print, this allows you to print a scan-able barcode for this batch.

The big thing with customising templates or creating templates is that if you customising a template, the SQL string is going to be a key component and when creating a new report, base that report on a similar template or structure and copy the similar templates SQL String to the new template and then add or delete the necessary SQL strings. This report writer can be accessed by going to the 'General' module and by clicking on the button 'Templates' or the other option is by clicking on 'Reports' button at the very top of the screen and then 'Templates'. Now to create your own custom template once the structure (SQL String) has been copied from a similar template, you then go to your 'Custom Reports' to create a new one. We access this by going to the 'Employee' module and then clicking 'Custom Reports' or by going to the very top of the screen and selecting 'Reports' and then 'Custom Reports'. For more detailed information please go ahead and watch the SQL Report Writer video to get a better understanding of it.

There are two types of reports in TrueERP. These list type reports are completely customisable per user and the information in the list can be filtered on. The second is your 'SQL Report Writer'. This is used, as an example, to print your processed 'Quotes' for your customers. TrueERP comes standard with a whole bunch of reports but more importantly, these two types of reports are again completely customisable. The 'SQL Report Writer' can be found at the top of the screen under 'Reports' and then 'Templates'.
