== Overview  ==

The search modes within ERP allow you to find information that you are looking for quickly and easily. In most lists and reports, the three options of searching are available. 

F5 - full list mode. This will bring up every entry in the list. 

F6 - starts with mode. This enables you to search by typing in the first letters of whatever you are searching for, and the list will highlight only the items in the list that match the 'starts with criteria' 

F7 - like search mode. This search mode is the most flexible allowing you to search for a 'string' of characters within a list. For example, if you were searching for a product that was called "printer ink cartridge black Epson 234hg" you could search on any combination of letters or numbers in this sequence eg: rid - would find it, as would 4hg.

· This Feature relates to most lists and reports that are available in ERP. Just some of these lists or reports include but are not limited to - Inventory, Suppliers, Employees, customers, contacts, accounts, journals, Appointments, accounts receivable and payable, budgets, fixed assets, quotes, invoices and sales orders and all other lists and reports within ERP 

For the purposes of this manual, we will be working in the inventory (product) list and demonstrating the searching within this list. The principles apply to all. 

This is an image of the inventory list with the area used for searching highlighted (top centre). The key search area is located in the same place on all reports. 

· The search column (top left) field shows the column of the report that the search is operating in. · The search column field will be filled in as a default with the column that is on the far left of the report. If you want to search as a default on one particular column, ensure that it is this column on the left. For more information on moving the columns to suit your setup, see Customising lists 

· Beginning with the full list mode we will be searching for one product in all three of the possible ways to show how it can be found. · The product we will be searching for is 'Bolt Hex Head Galv 150 x 10'. shown in the following screen highlighted in blue. · The search colour to identify the product will be a shade of yellow - for more about changing the search colours see personal preferences 

· To search in full list mode simply start typing the description you are looking for in the search text field at the top of the screen (circled). · As you start typing in this case 'bolt' you will see the selections in the list, and highlighted those that start with bolt. · You will note that the product is highlighted and all other entries in the list are still visible unlike in f6 search mode. 

· To search in 'starts with' mode simply start typing the description you are looking for in the search text field at the top of the screen (circled) and then press f6. · As you start typing in this case 'bolt' you will see only the products in the list that start with bolt all others will not be visible. This is great if you have a massive list or report and want to identify quickly only those selections that start with your selection, not the others. 

· If you press f6 first and start typing it will have the same effect as searching in full list mode. 

· To search in 'like' mode simply start typing any of the letters in the search text field at the top of the screen (circled) and then press f7 in this case I have typed in 'galv 150'. 

As you press f7 all entries with that combination of letters will be visible in the list (not highlighted) 

· This search mode is ideal if you can not remember all of the details of the entry you are looking for - but only a few letters or numbers from the description. 

· Searching by any of these three methods is available in all columns that allow searches in all reports. · Demonstrated below is searching for the same product - but in a different column. I have chosen to search in the department column (Circled) and started typing 'fastener' (circled). · You are able to choose which column you want to search by either clicking in that column with the mouse pointer - or selecting the column from the drop down list in the search column field. · Within a sales transaction you can also use the f5,f6 &amp; f7 search functions - in a slightly different way. · Pictured below is an invoice and we will show the different ways of searching within a sales transaction (quote, sales order, cash sale, invoice) · Starting with the f5 full list mode we can simply start typing and the program will search on just the product name column 

As you can see in this example we have started typing bolt - and the search has bought up our result straight away.

· If you use the f6 (starts with) or f7 (like) search modes - you have the ability to search all columns. · Start typing the first few characters and then press f6 and the program will find all responses that "start with" those characters in all columns - in the example below you will see that the program has shown all answers that "start with" CD in all columns (circled).
