Tree Mode
Can you explain how tree mode works?
The Chart of Accounts List can be viewed in detailed list mode or Tree Mode. The Chart of Accounts List displays the full list of Accounts within your business with related balances. You can view by Active Accounts, Inactive Accounts or All Accounts by selecting the required Radio Button.
- You can view the Chart of Accounts in List mode - You can search easily in this mode
- Or in Tree mode - expand or contract to view.
- To set your chart of accounts to view in Tree Mode select the Accounts module and select the Accounts List button.
- On the top right of the screen tick the Tree Mode radio button. This can be set to open by default fromUtilities - Preferences- Accounts and tick Default to Tree View for Chart of Accounts
- Select Save
- By clicking on the (+) icons, it will allow you to view (expand) more of your account details. By clicking (-) it will hide (contract) the detail.
- All $ values of Sub Accounts are Drillable in expanded view only.
When creating an account you can create a Tree Mode so as to be able to post transactions to separate Departments/Products for annalysing costs.
- From the Main Screen select Accounts and select theAccount button
- Select the Account Type and select each Sub Account as required
- Type in an Account Name you require. The newly created Account Tree will display in the Account Tree View box.
- E.g under Account Type - Expenses you can have a Sub Account labeled Motor Vehicle Expenses, then a Sub Account under that ofPetrol then an Account Name of the Vehicle Type or Registration
N.B. To Drill into the information on Tree Mode double click into the (+) then double click onto the figures to Drill into the informaion that makes up that balance. If an account has been set up as a Header you will not be able to Drill into that account. A Header account is for Totals only, transactions can not be posted to a header account.
Merging Accounts
In some circumstances you may need to Merge two accounts. It is not possible to simply change the name in the account file as this is a unique identifyer for each record. You must create a new account with the new name and merge the old account into it.
- From the Main Menu select Accounts - Account List and untick Tree Mode.
- Hold down the control key (Ctrl) and select the account name that you want to keep.
- Continue to hold down the control key (Ctrl) and select the account you want merged into the first account.
- Once selected Right Click on the First account and select Merge from the displayed list.
- You will then get a message confirming Select OK
