You can view the Chart of Accounts in List mode - You can search easily in this mode Or in Tree mode - expand or contract to view (there is a preference that you can set your account to open in Tree Mode or not)
To set your chart of accounts to view in tree mode
Select Accounts tab. Select Accounts List button Tick Tree Mode, radion button (this opens as default, but can be controlled in Utilities=>preferences=>accounts
By clicking on the (+) icons, it will allow you to view (expand) more of your account details. By clicking (-) it will hide (contract) the detail. All $ values of Sub Accounts are drillable, i.e. in expanded view only.
Can you explain how Tree Mode works?
When creating an account you can create a tree mode so as to be able to post transactions to separate Departments/products for annalysing costs.
eg. Under Expenses you can have a Header account labeled Motor Vehicle Expenses, then a sub under that of Petrol then a sub under that of e g. vehicle names
Producet Type ..... Expense Manufacture :......Motor Vehicle Expenses Type :.......Petrol Product :.....Holden GHS 223
Note: To drill into the information on Tree Mode double click into the + then double click onto the figures to drill into the informaion
that makes up that balance.
If an account has been set up as a header you will not be able to drill into that account. A header account is for totals only, transactions can not be posted to a header account.
Merging Accounts
How to Merge Accounts
In some circumstances you may need to merge two accounts. It is not possible to simply change the name in the account file as this is a unique identifyer for each record. You must create a new account with the new name and merge the old account into it.
Select Accounts Select Account List Untick Tree Mode Hold down the control key (Ctrl) and select the account name that you want to keep Continue to hold down the control key and select the account you want merged into the first account Once selected Right Click your mouse and select Merge You will then get a message confirming Select OK
