2 Accounts Payable Reports

Accounts Payable Report

This button allows you to view the Accounts Payable Report as at the time of your last batch update. The Accounts Payable screen opens by default in summary form by supplier.

Once a Purchase Order has been generated, then the goods or services have been received, the Invoice Number and date entered, and the Purchase Order is saved, the account then becomes payable as per the terms of the Supplier. The Accounts Payable Report can also be viewed by Age By Transaction Date.

How To View the Accounts Payable Report

The Accounts Payable Report is accessible via the following two tabs.

The Accounts Payable Report can be viewed in the following methods.

Summary - This displays Outstanding Balances as a total per Supplier Details - This displays Outstanding Balances by Transaction type, e.g. Invoice Extra Details - This displays Outstanding Balances by Purchase Order etc. including all information regarding the transaction such as Purchase Order numbers.

In extra details you may also drill down to view the source transactions (see Global Features).

For Companies that use Departments, you have the ability to view this report by one Department or All Departments.

Tick All to display Report by All Departments Un-tick All and select a Department from the drop-down to display the report by a specific Department.

To view the Report by a particular Date Range, un-tick Ignore Date Range. Select the Date Range required.

The Show Prepayments check box allows you to include or exclude Prepayment transactions.

Age by Transaction Date shows payments due by age from the creation of the transaction regardless of the payment terms.

To select transactions for either Review or Approval for payment, hold down Ctrl and select the transactions to review or approve. Right-click to make your choice of review or approval, or to clear a previous choice.

The payments selected for payment and for review will highlight accordingly, and the totals will be displayed in the bottom right hand corner of the report.

Select the Pay Approved button to load the payment screens for the transactions approved for payment. Select Yes to proceed with the payment of Approved Payments.

The Supplier payment screen will load with the relevant Supplier and payments. Refer to Supplier Payments for further details on processing payments.

Once the payment has been applied, the transactions will no longer appear in the Accounts Payable report, upon reloading the report.

Select the Bulk Pay button displayed at the bottom of the Accounts Payable List to load the Bulk Pay payment screen.

Bulk Pay Supplier allows you to post payments to multiple suppliers from within the one processing screen. Refer to Bulk Pay Suppliers within the Payments tab for details on completion.

To add notes to individual transactions within the Accounts Payable Report, you must first select the Extra Details mode. Double-click in the Notes column beside the transaction you wish to apply a note to. The Notes screen will load, enter the relevant note.

Select OK to save the note.
