Entering a Quote

Can you enter a Quote?

Select Sales from Main Menu Click on Quote button Enter Company name then enter details of the Quote

A Quote is created when you wish to provide a Customer or Prospect with a formal price and retain the details for later reference or conversion to a Cash Sale, Repair, Sales Order, Invoice or POS.

Products, Services and Projects can be added to a Quote, a Follow Up Reminder can be set and pricing can be varied.

Select the 'Quote' button displayed within the Sales Tab. Select the Customer Name from the drop down list; this will automatically fill the Quote To and Ship To fields. If different details are needed, delete the details and add new details.

Select the Department from the drop down list. Select the Date of the Quote if different to the current date. Add Reference details if the Customer provides them.

Select the Status of the quote from the drop down menu Select the Representative for this customer if different to default Rep Select a Follow Up Date Click on the Choose Template check box if you want to select a Quote Template.

Select the product name or service from the drop down list. Add the Ordered quantity for this Quote.

Cost Inc is automatically inserted from the Product details Price Inc is automatically inserted from the customer price matrix. Profit Ex is automatically calculated by ERP.

The tax Code is inserted by ERP - if required a different code can be selected from the drop down list. A 'Discount' for this item can be added to the Discount ($) field.

Any relevant notes can be added to the Comments field. Related documents or files can be attached to the Quote via the drag and drop process. An amount different to the Quote total value can be printed on the Quote. To achieve this, type the amount in the Amount to Appear on Printout' field

The total amount of discount is displayed in the 'Discount Total' field. The total amount of markup is displayed in the 'Markup Total' field. The 'Sub Total', 'Tax Total' and Quote 'Total' are displayed in their respective fields.

To Email the Quote to the Customer, click the 'Email' button. To Fax the Quote to the Customer, click the 'Fax' button. Click the Save button to finish the quote.

To access a quote select Quote List to view all quotes entered. From a quote you can convert to a Sales Order or an Invoice by simply selecting the Copy to buttons on the quote. Now within the Quote list you will see converted quotes by selecting the radio button and from here you can see what the quote was converted to.
