Drill Down Reports

Overview
- The Report Selector is your 'one-stop-shop' for Reports.
- From within almost all Tabs you will find a button called "…. Reports", (…. relates to the Tab you are currently
viewing), e.g. 'Sales Report' button is located within the Sales Tab; 'Purchases Report' button is located within the Purchases Tab.
- Select the 'Sales Report' button from within the Sales Tab.
- Double-click (or highlight and select OK), on the Accounts Receivable Report for this The ability to "Drill Down"
to specific data from within Reports is a feature that assists users to quickly identify key supporting information about a particular entry that is in the report.
The ability to drill down to view each transaction, all the way down to the original transaction, within ERP Reports is an incredibly valuable tool. The time saved in identifying what an amount in one of your key reports is made up of is invaluable to any growing, efficiency-conscience business.
Reports are located within every tab of ERP, and all reports are listed in the Report Selector per Tab of relevance, or found by selecting the 'Reports' button at the bottom left of ERP main screen. Many commonly used Reports are also located within the respective Tabs, e.g. Accounts Receivable and Accounts Payable Report buttons are located within the 'Payments' and 'Banking' tabs as well as within the Report Selector.
How to Drill Down into Reports
Reports should be studied by each User in an effort to work out what reports relate best to YOUR needs. This applies to all Reports within the ERP database.
There are a few basic rules that apply to ERP Reports. These are as follows:
- Filtering; Searching; Exporting; Customising; Printing; are all standard features of ERP reports.
- Reports are either Real Time, 'As At' a particular point in time, e.g. Balance Sheet and Trial Balance Reports (this
can be both). OR they are 'Date Range' / 'Custom Range' specific, meaning data can be viewed for a particular time frame.
- Some reports can be viewed in 'Summary', 'Detail' or 'Extra Detail' modes.
- Report figures are drillable, i.e. you can drill into the transactionexample.
- The Accounts Receivable Report will load in 'Summary' mode.
As stated above, Reports that can be viewed in Summary, Details and Extra Details mode are only drillable in Extra Details mode.
- Select the 'Extra Details' radio button to load the transactions that make up the total figures for each Customer.
- The figures in bold are the total amounts due per Customer, you cannot drill into these.
- The amounts of each individual transaction detailed per Customer can be drilled in to.
- Double-click on an amount, e.g. $2,520.00 for Invoice 98 for Mr Burns.
- Invoice 98 will be displayed on-screen.
- There are some reports that display data that has been invoiced, paid and reconciled.
- Select the 'Profit and Loss' Report from within the Accounts Tab or the Accounts Report Selector.
- If you have chosen the Report Selector from which to open the Profit and Loss Report, either double-clicking on it,
or highlighting then selecting 'OK' to open the report.
- Double-click on an amount to open the Details by Account List to view the transactions that make up this figure,
e.g. double-click on the Sales figure $40,832.09
- From within the Details by Account List you can continue to drill-down to get to the original transaction that makes
up the amount, e.g. double-click on Invoice DEF50 to load the invoice.
- Note that this invoice has been paid. You can continue to drill-down to the payment by selecting the 'Payment' button.
- The 'Transaction Payment List' will load.
- Double-click to open the payment/s relating to this invoice.
- The payment screen will load with details of the selected payment.
- Select the 'Deposit' button to view the Deposit Entry.
- Double-click to open the Deposit for this payment.
- The To Be Deposited screen (or Payment screen depending on account the payment was posted to), will load
with details of the selected deposit.
- Select the 'Reconciled' button to view the Reconciled List.
- Double-click to open the Reconciliation of this Deposit.
- The Reconciliation that this Deposit was reconciled in will load.
